<p>Position Summary </p>
<p>Naperville Country Club seeks an individual who can provide high level administrative and executive support with an emphasis on confidentiality, communication and an attitude of cooperation and willingness to help.  This highly visible position represents both the membership and the entire staff.  Interpersonal and technical skills of the utmost professional caliber are essential.  </p>
<p>This position is responsible for promptly, accurately, professionally and courteously greeting visitors, answering and forwarding incoming telephone calls, and relaying messages to staff and members of the Board of Directors.  In addition, this position will coordinate the development, production, and distribution of all club communications including: website, newsletters, and other internal and external communications, in particular, management of a weekly newsletter, maintenance of the club’s website and promotion of club events.  Furthermore, this position will provide secretarial and clerical support (filing, word processing, clerical, telephone and related duties) to departmental managers and the Board of Directors.  This position requires an individual with strong technical and project management skills.  </p>
<p>Communication Responsibilities<br />

•	Manage and develop the club’s communications program, in particular the newsletter and website<br />

•	 Assume primary responsibility for the coordination, writing, editing, presentation, quality and distribution of all club communications. Responsible for computer-design tasks related to menus, invitations, announcements, in house signage and other promotional material including new member and prospective member packets, new member orientation packets and banquet packets<br />

•	Maintain and coordinate the clubs calendar of events which includes:  banquets, parties, holiday events,  and other functions<br />

•	 Takes photos for use in club publications, websites and exhibits</p>
<p>Administrative Responsibilities<br />

•	Develop a general knowledge of departmental activities so as to facilitate accurate responses to questions from members, visitors, and guests. •	Assists with the distribution and tally of club surveys<br />
<br />
•	Provides assistance and training as needed to other managers relative to e-mail, website, Internet and general computer applications<br />

•	Processes e-mail directed to staff members<br />
<br />
•	Operates the phone system, answers the telephone; transfers calls to proper extensions; takes messages for members and staff.  Minimize the use of the clubs automated voice mail system<br />
<br />
•	Maintain appearance of reception area as it is the first point of contact for members and guests as the approach the business office<br />
<br />
•	Post daily / weekly events on lobby activity (function) boards<br />
<br />
•	Accept and record reservations for meals and other club events<br />
<br />
•	Greet and assist job applicants<br />
<br />
•	Perform general office and clerical duties such as: word processing, correspondence, copying, filing, assembling, distributing, faxing and operation of a postage machines<br />
<br />
•	Assist with mailing of monthly statements if needed<br />
<br />
•	Order and inventory office supplies.  Monitor office equipment-maintenance contracts<br />
<br />
•	Receive deliveries from Fed Ex, UPS and other delivery services.  Sort and distributes incoming mail.  Collect and posts outgoing mail (including overnight mail services)<br />

•	Perform off-site errands (for example, going to the post office, going to the office supply store, going to Kinko’s…)<br />

•	Perform office opening / closing duties (equipment, computers, lights, music…)<br />

<p>Requirements<br />

Will consider training the right, bright candidate that passes a simple presreening evaluation test. </p>
<p>Quickbooks Pro or similar accounting software experience is required. Familiarity with typical Microsoft Office functions is also required. Prior construction office experience is desired, but not mandatory. </p>
<p>Operational Functions</p>
<p>Payroll (12-20 employees),  enter and pay bills, create customer invoices from project records. Prepare weekly reports ( All performed with  Quickbooks Pro) –Handle online bill paying<br />

Prepare monthly union reports for two unions-<br />
<br />
Project cost recordkeeping- (Excel)<br />
<br />
Maintain insurance records for projects and subcontractors<br />
<br />
Preparation of standard construction documents, payouts, waivers, sworn statements and other AIA based forms<br />
<br />
Research and prepare product submittals, internet research<br />
<br />
Inventory/Purchasing of all typical office supplies<br />
<br />
Assistant to owner and project manager in special projects.</p>
<p>Pay range from 26,000-34,000 depending on experience and prescreening knowledge test. Frankfort area office, nice new office environment<br />
